NoteGPT Alternatives for Transcribing Audio and Video Files

If the job is a file transcript rather than a YouTube summary suite, compare quota pricing with local and cloud transcription limits.

NoteGPT is a broad AI workspace: YouTube summaries, uploaded audio and video, chat over the result, plus writing, image, and study tools. If you arrived because you need a transcript of a file, most of that workspace is optional. The alternative is a transcription tool that states its file limits and export formats without making you spend a shared quota on unrelated features.

Prices and quotas below are from NoteGPT's public pages on 7 October 2026. Plans move. Open the linked pages before you pay.

What NoteGPT's own pages say about transcription

The features overview splits YouTube tools from an AI Transcriber that accepts local or online media and can add a mind map and chat. The free-plan help page says each account gets 15 free quotas a month, shared across features.

The quota policy, last updated 30 March 2026, prices transcription like this:

  • YouTube with subtitles: 1 Basic Quota per video for basic transcription.
  • YouTube without subtitles: 1 Basic Quota per 10 minutes for basic transcription.
  • Audio or video files: 5 Basic Quotas per file on the free plan, and 1 Basic Quota per minute on other plans. Premium transcription is 1 Premium Credit per minute.

The pricing page lists a Pro plan at US$9.99 per month with 1,000 Basic Quotas and local files up to 1 GB, an Unlimited plan shown at US$29 per month or US$19.92 per month on the annual presentation with local files up to 5 GB, and a Max plan shown at US$99 per month or US$69 per month on the annual presentation with 5 GB files and 20 audio or video files at once. YouTube videos without subtitles are capped, on those paid cards, at 210 minutes on Unlimited and Max and 120 minutes on Pro.

Two NoteGPT pages disagree about annual renewal. The pricing FAQ says annual plans renew automatically. Section 4 of the quota policy says annual subscriptions do not auto-renew for the following year. Check both pages, and the checkout text, before you subscribe.

Decide whether you need NoteGPT at all

Stay with a suite like NoteGPT when you regularly paste YouTube links, want a summary and a chat in the same account, and are willing to track quotas. Leave it when the inventory is your own files and you want a transcript or captions more than a summary.

What Whisper Web can and cannot do with the file

Use this only when the job is a recording you already have, or a microphone recording you make in the browser. Whisper Web is not a meeting bot, an enterprise meeting workspace, or a dictation layer that types into other apps.

  • Free, in the browser: transcription stays on the device. Free files are limited to 200 MB and 20 minutes. A free dashboard batch accepts up to 5 files. Export the edited text as TXT, Word, SRT, VTT, or JSON.
  • Unlimited, in the cloud: the published plan is US$20 per month, or US$120 per year. Files are uploaded for cloud transcription. The published limits are 10 hours or 5 GB per file, with batches of up to 50 files, saved history, and sync across devices. The pricing FAQ says those uploaded files are deleted after transcription. Cloud jobs need a network connection and start from the dashboard.
  • Microphone, not system audio: the in-browser recorder asks for the microphone. It does not capture the other side of a Zoom, Meet, or Teams call. Record that audio in the meeting app or the operating system, then open the file.
  • No automatic speaker names: the transcript is one continuous text. Add speaker names yourself while editing. The interview transcription page states this directly.
  • First visit downloads a model: the free path needs a network connection the first time the speech model is fetched. The product FAQ says free transcription can continue offline after that download. This article does not add a new offline test, so try it on your own machine before you rely on a room with no network. Loading the website still needs a connection.

Put the same one-hour file next to both price lists. On NoteGPT's paid basic rate, the quota page says 1 Basic Quota per minute, so 60 minutes consumes 60 quotas. On the free NoteGPT plan it consumes 5 quotas of the monthly 15, once. On Whisper Web, 60 minutes does not fit the free 20-minute local gate, so it is an Unlimited cloud file under the US$20 monthly or US$120 yearly plan, not a per-minute charge. The privacy difference matters as much as the price: free Whisper Web files stay on the device; a one-hour file is uploaded.

A short trial that does not depend on a review site

  1. Pick one file under 20 minutes and one file you actually care about, even if it is longer.
  2. Transcribe the short file in the browser. Edit one name and export TXT plus SRT.
  3. If the long file is the real job, run it from the dashboard or price it on NoteGPT's per-minute quota. Do not extrapolate from the short file alone.
  4. Keep the tool whose export you can file without logging back in to read it.

Frequently asked questions

Is Whisper Web a NoteGPT replacement for YouTube summaries?

No. Whisper Web transcribes audio and video you provide and can export captions. It is not a YouTube-summary, essay, or image suite. If that wider toolkit is the job, compare NoteGPT with tools built for those tasks.

Can I transcribe several files at once?

In the Whisper Web dashboard, free batches allow 5 files and Unlimited allows 50. Each free file must also fit 200 MB and 20 minutes. NoteGPT's Max card lists 20 local audio or video files at once, with a 5 GB per-file cap on that page.

Does a larger upload limit mean a better transcript?

No. It means the service will accept the file. You still have to read names, numbers, and overlapped speech. Neither this article nor NoteGPT's pricing page is an accuracy test.

Use audio or video transcription for the recording you have. Move to the dashboard when the file is too long for the free local limit.
