Wispr Flow Alternatives When You Need a Meeting Recording Transcribed
Wispr Flow is dictation plus a device notetaker. Use it for that job, and use file transcription when the meeting is already a recording.
Wispr Flow's main product is dictation: speech that becomes text inside other apps on your computer and phone. Wispr Flow Notetaker is a second product that records meetings on the device, without a bot. Neither one is the same tool as opening a recording you already exported and downloading a transcript.
This breakdown uses Wispr's pricing, enterprise pricing, and Notetaker pages as checked on 7 October 2026. It is not a timed accuracy comparison.
Which Wispr job you might actually have
- Typing by voice in email, docs, and chat. That is Flow dictation. Whisper Web does not insert text into other applications.
- Notes from a live meeting on a Mac or Windows machine, with speaker labels and a summary. That is Wispr Notetaker. It says it captures whatever the computer can play, including Zoom, Meet, Teams, huddles, and in-person meetings through the microphone, and that no bot is invited.
- A file after the meeting from someone else's recorder, a phone, or a cloud recording you downloaded. That is file transcription. Start at meeting transcription.
What the pricing pages specify
The pricing page is more specific than the Notetaker marketing FAQ, and the two are not identical:
- Free: dictation on Mac, Windows, iOS, and Android, with the comparison table showing a weekly dictation allowance of 2,000 on desktop and 1,000 on mobile, plus limited Notetaker access. The FAQ says free Notetaker includes a weekly meeting limit and that recordings under five minutes do not count toward it.
- Pro: US$15 per user per month, or US$12 per user per month on the annual view. The page lists unlimited dictations and longer Notetaker history, not a numeric meeting cap.
- Unlimited Notetaker: the enterprise pricing page lists a Dictation and Notetaker bundle at US$33 per user per month, or US$26 per user per month billed annually. Dictation-only on that page is listed lower, at US$23 and US$18. The Notetaker FAQ also says "upgrade to Pro for unlimited use," which is looser than the pricing table. Use the pricing page when you are counting meetings.
Notetaker runs on Mac and Windows. Mobile is described as on the roadmap. Transcription on the Notetaker page is listed for 21 languages, from English through Turkish. Flow dictation is described separately as 100+ languages. Do not apply the dictation language count to meeting transcripts.
On privacy, the Notetaker FAQ says audio is encrypted and kept temporarily on the device and sometimes in cloud storage, then deleted, and that content is not used to train models without consent. The pricing page says Notetaker and Scratchpad are disabled on BAA accounts, and that HIPAA-ready dictation depends on a signed BAA. Enterprise controls on that page include SSO, admin control of model training, and organization-wide enforcement. Those marks apply to Wispr's stated plans, not to Whisper Web.
When to leave the notetaker and transcribe the file
Switch when any of these are true:
- The meeting already happened and you have an audio or video file.
- You need SRT, VTT, or a Word file more than a topic summary inside Wispr.
- The recording is on a phone or a machine where Notetaker is not installed.
- You want a short file handled in the browser, without a desktop app.
What Whisper Web can and cannot do with the file
Use this only when the job is a recording you already have, or a microphone recording you make in the browser. Whisper Web is not a meeting bot, an enterprise meeting workspace, or a dictation layer that types into other apps.
- Free, in the browser: transcription stays on the device. Free files are limited to 200 MB and 20 minutes. A free dashboard batch accepts up to 5 files. Export the edited text as TXT, Word, SRT, VTT, or JSON.
- Unlimited, in the cloud: the published plan is US$20 per month, or US$120 per year. Files are uploaded for cloud transcription. The published limits are 10 hours or 5 GB per file, with batches of up to 50 files, saved history, and sync across devices. The pricing FAQ says those uploaded files are deleted after transcription. Cloud jobs need a network connection and start from the dashboard.
- Microphone, not system audio: the in-browser recorder asks for the microphone. It does not capture the other side of a Zoom, Meet, or Teams call. Record that audio in the meeting app or the operating system, then open the file.
- No automatic speaker names: the transcript is one continuous text. Add speaker names yourself while editing. The interview transcription page states this directly.
- First visit downloads a model: the free path needs a network connection the first time the speech model is fetched. The product FAQ says free transcription can continue offline after that download. This article does not add a new offline test, so try it on your own machine before you rely on a room with no network. Loading the website still needs a connection.
Wispr can be the better product when you want live capture, speaker names, and dictation in every app. Whisper Web is the better fit when the artifact is the file. Try the recording you have, not a generic shortlist
- If the meeting is still ahead and you want Wispr to hear it, install Notetaker on a supported desktop and confirm the weekly free limit before you depend on it.
- If the meeting is a file, skip installation. Open audio to text or video to text.
- Edit names. Export the format the next person asked for.
- Move the long version to the dashboard only if cloud processing is acceptable.
Frequently asked questions
Can Whisper Web replace Wispr Flow dictation?
No. Dictation types into the app you are using, as you speak. Whisper Web transcribes a recording or a microphone take inside its own page. Use Flow if the job is writing by voice across Mac, Windows, iOS, and Android.
Does Wispr Notetaker upload the meeting?
Wispr says audio is stored temporarily on the device and in some cases in cloud storage, then deleted. That is an upload for some processing, even though no bot joins the call. Read the current FAQ before you treat it as strictly on-device.
What if I only have the recording?
Transcribe the file. A notetaker subscription does not reconstruct a meeting it did not capture, unless that product has an import feature you have verified.
The meeting is already a file
Transcribe it, edit the names, and export. Use the dashboard when the recording is past the free local limit.
